Appointments

Appointment Management Software that fills the slot and reduces no-shows

An empty slot costs the same as a full one. Most of them are empty because nobody reminded anybody.

No-shows are the quietest loss in Indian outpatient practice. A clinic with sixty booked slots a day and a fifteen per cent no-show rate is losing nine consultations daily — not to competition, not to price, but to patients who genuinely intended to come and forgot. The fix is well understood and almost never implemented: a confirmation when the booking is made, and a reminder the day before.

The second loss is bookings that never happen. A patient who calls at 9 p.m. and gets no answer books somewhere else. A clinic reachable only by phone during clinic hours is unreachable at exactly the times people plan their week.

MedKit Care gives every clinic a public booking page, a doctor-wise slot structure that respects real sitting hours and leave, a walk-in token queue that shares one list with booked patients, and automatic WhatsApp confirmations and reminders that cost nothing to send once configured.

What this replaces

The failures below are the reason clinics and hospitals go looking for software in the first place.

Bookings only happen by phone, during hours

Patients who plan in the evening cannot book, so they call whoever answers the next morning.

Reminders depend on a person

Somebody is supposed to call tomorrow's patients, and on a busy day nobody does.

Two diaries disagree

Reception's book and the doctor's own list drift apart, producing double bookings and empty gaps on the same afternoon.

Leave is not reflected

Patients are booked into a session the consultant is not attending, and find out on arrival.

Walk-ins and appointments compete

With two separate queues, the waiting order is arguable and the loudest attendant wins.

No-shows are never measured

Nobody counts them, so nobody knows the rate and nothing is done.

How MedKit Care handles it

Each capability below is part of the platform, not an add-on quoted separately.

Public booking page

A branded page where patients choose a doctor, a date and a slot themselves, at any hour.

Doctor-wise slot rules

Sitting days, session times and slot lengths per doctor, so the calendar reflects the real clinic.

Leave and blocking

Blocked dates and sessions vanish from the booking page immediately.

Automatic WhatsApp confirmation

A confirmation with doctor, time and location goes out the moment a booking is made.

Reminders before the visit

A reminder the day before, sent automatically, which is where most of the no-show reduction comes from.

Merged walk-in queue

Tokens and booked appointments in one ordered list per doctor, so the order is not a matter of opinion.

Rescheduling and cancellation

Changes update the calendar and notify the patient without a phone call.

No-show and utilisation reporting

Booked, attended and missed per doctor and per session, so the rate is known and manageable.

The workflow, end to end

  1. 1

    Configure

Set each doctor's sitting days, session times and slot length once.

  2. 2

    Publish

The booking page goes live; share the link on WhatsApp, Google Business Profile and the clinic board.

  3. 3

    Patient books

A slot is chosen and confirmed instantly, with the confirmation delivered on WhatsApp.

  4. 4

    Reminder

An automatic reminder goes out before the appointment, with the option to reschedule.

  5. 5

    Arrival

The patient joins the merged queue; walk-ins take tokens in the same list.

  6. 6

    Review

Attendance, no-shows and slot utilisation are reported per doctor and per session.

Frequently asked questions

Do patients need to install an app to book?+

No. The booking page opens in any browser from a link, and the confirmation and reminder arrive on WhatsApp.

How much do reminders reduce no-shows?+

Clinics running confirmation-plus-reminder typically see a marked drop; the reason is simply that most no-shows are forgetfulness rather than intent. The system reports your own booked, attended and missed figures so you can measure the effect rather than trust a claim.

Can we still take walk-ins?+

Yes. Walk-ins take tokens that join the same ordered list as booked appointments, which is what removes the argument at the door.

What if a doctor takes unexpected leave?+

Blocking the session removes those slots from the booking page immediately, and already-booked patients can be notified to reschedule.

Where do we share the booking link?+

Anywhere patients already look: the clinic's Google Business Profile, its WhatsApp status and auto-reply, the board outside, and the prescription footer.
