How to Choose Clinic Software in India: 12 Questions That Actually Separate Vendors

Why feature checklists do not work

Ask ten clinic software vendors whether they support appointments, prescriptions, billing and inventory, and ten will say yes. The checklist tells you nothing because the category is mature enough that everyone has the features.

What differs is how those features behave under the conditions of an actual Indian clinic: high volume, thin staffing, unreliable connectivity and no IT support. These are the questions that expose that.

On speed

1. How many actions does it take to register a returning patient?

Ask for a live demonstration, timed. If it is slower than typing a name fresh, your staff will create duplicates forever, and no amount of policy will stop them.

2. Can I see the last visit without leaving the current screen?

If the history is one more click away, it will not be looked at during a four-minute consultation.

3. Can a routine prescription be issued from a template?

Watch someone prescribe the five most common presentations in your practice. If each one is built from scratch, the software will cost you time rather than save it.

On the counter

4. Does a procedure recorded by the doctor appear on the bill automatically?

If the answer involves the doctor telling reception, nothing has been solved — that is the leak you are trying to close.

5. How does it handle GST on a bill with both a consultation and medicines?

Services are largely exempt and goods are not. If the system applies one treatment to the whole invoice, it will be wrong the first time anyone looks closely.

6. Can we reconcile cash, UPI and card separately at day end?

One combined collections figure means the evening count never matches and no one can say where the gap is.

On reality

7. What happens when the internet drops for an hour?

The only good answer is that entry continues on the device and syncs afterwards. "It comes back quickly" is not an answer. In a district town this question alone eliminates several vendors.

8. Who sets it up, and how long does it take?

If it needs a site visit, a server or a week of training, a small clinic will never complete it. Setup should be measured in minutes and done by you.

9. Can my receptionist use it after one day, without seeing clinical notes?

Both halves matter: usable by someone whose only software experience is a smartphone, and scoped so reception does not read consultation notes.

On money

10. Is the price per clinic or per user?

Per-user pricing means the software gets more expensive precisely as you grow. Ask what a second doctor and a second counter cost.

11. What is the total first-year cost, including setup and training?

Get the implementation fee, the training fee and the annual maintenance contract in writing. The monthly figure in the brochure is rarely the number you pay.

On leaving

12. Can I export everything, and what format?

Ask specifically: full patient list, full prescription history, full billing history, on demand, without a support ticket. A vendor who hesitates here is telling you their retention strategy is your data, not your satisfaction.

Two things people over-weight

Mobile apps. Most clinic work happens on a screen at a desk. A responsive web interface that works on a tablet at the bedside matters far more than an app in a store.

Feature count. The clinic that uses six features well beats the one that bought sixty and uses four. Ask which features their existing customers actually use daily.

One thing people under-weight

Support channel. When something breaks at 6 p.m. with twelve patients waiting, a ticket portal is not help. Ask what number you call, in which language, and what happens after 7 p.m.
